Privacy Policy — Forms Locator

Forms Locator is a Google Forms™ add-on provided by Maxi Research. This Privacy Policy explains how Forms Locator handles information used to provide its location-collection functionality.

1. Information collected

This is the data that Forms Locator adds to the form responses:

  1. The form submitter’s location in latitude and longitude.
  2. The address obtained from the latitude and longitude through reverse geocoding.
  3. The time the location link is clicked after form submission.
  4. An optional note entered by the form submitter, such as an ID or other identifier.

2. How information is used

Forms Locator uses this information to add location information to the corresponding form response.

Forms Locator does not track form submitters or their location and does not use location information for advertising or marketing.

3. Location permission and accuracy

Location information is collected only when the form submitter chooses to use the location link and allows location access in their browser.

Location accuracy depends on the form submitter’s device, browser, network, GPS availability, and other factors. Mobile devices can usually provide more accurate location information than laptops or desktop computers because they can use GPS and other device-based location services.

Forms Locator does not guarantee the accuracy of the location information collected.

4. Timestamp matching

Forms Locator uses the form response timestamp to associate the location with the corresponding recent form response.

Because this method relies on timing, closely timed submissions can affect the association. An optional note can help identify the form submitter’s submission when needed.

5. Data sharing and disclosure

Forms Locator does not sell, rent, or use Google user data for advertising or marketing.

Location information collected through Forms Locator is written to the Google Sheets™ response data associated with the form. Forms Locator does not maintain a separate database of this location information.

The information is available through the response Sheet to the form owner and other people who have access to that Sheet according to the form owner’s Google account and sharing settings.

Forms Locator does not disclose Google user data to third parties for their own use.

6. Data protection

Forms Locator uses Google Apps Script with a dedicated Forms Locator Google account to access the response Sheet and provide its functionality. Data is transmitted using Google’s secure services and is protected by the access controls provided by Google for the associated Google account and response Sheet.

Forms Locator does not store the collected location information in a separate Maxi Research database.

7. Data retention and deletion

Forms Locator does not maintain a separate copy of the location information after it has been written to the form’s response Sheet.

Location information remains in the response Sheet according to the form owner’s use and retention of that Sheet.

The form owner can delete location information from the response Sheet at any time using Google Sheets™.

If the form or response Sheet is deleted by the form owner, the location information stored in that Sheet is deleted as part of that deletion, subject to Google’s own data retention and deletion processes.

8. Data and the form owner

Location information and optional notes are added to the Google Sheets™ response data associated with the form.

The form owner is responsible for the response data, including how it is used, stored, shared, and retained.

Forms Locator is provided free of charge.

9. Changes and contact

We can update this Privacy Policy from time to time.
